Return & Refund Policy.

At Docpensa, we value your satisfaction and strive to provide you with the best experience for your clinical workflow. As we provide digital software-as-a-service (SaaS) products, this policy outlines how we handle cancellations and refunds.

1. Digital Nature of Service

Docpensa provides cloud-based software services. Because our products are digital and a 14-day free trial is available to evaluate the software fully before making a purchase, access is granted immediately upon successful payment. Therefore, physical returns or exchanges of goods do not apply.

2. Refund Eligibility

  • Subscription Plans: All monthly and annual subscription payments are strictly non-refundable. Since users have ample time to evaluate the platform during the free trial period, we do not offer pro-rated refunds for unused days or terms.
  • Billing Errors / Duplicate Charges: In the event of a verified duplicate charge or a technical billing error, we will gladly issue a full refund regardless of your plan type. You must report such errors within 7 days of the transaction.

3. Cancellation Policy

You may cancel your subscription at any time through your Account Settings. Upon cancellation, your access to premium features will continue until the end of your current paid billing cycle.

Data Retention: Please note that cancelling your subscription will not delete your clinical records or patient history. Your data will remain securely saved in our system, and you can re-access it anytime by renewing your subscription.

4. Processing of Refunds

Once a refund is approved, we will initiate the process immediately. The refund will be credited back to your original method of payment (handled via PayHere).

Please note that it typically takes 3 to 7 business days for the refund to appear in your account, depending on your bank and the payment provider.
